At Eventastic 2026, I had the opportunity to present a three-minute tech demo called “LED Posters: The Glow Up Your Event Deserves” to an audience of more than 14,000 event professionals.

Three minutes isn’t much time when you’re talking about technology that can transform everything from event signage and branding to sponsorships and sustainability initiatives. So after the session, I started thinking about the questions event planners ask me most often when they first encounter LED posters.
Here are five of the biggest questions—and why I believe LED posters are becoming one of the most valuable tools in the event planner’s toolkit.

ARE LED POSTERS JUST DIGITAL SIGNS?
Short answer: no.
This is probably the most common misconception.
Many planners initially see LED posters as a replacement for printed signs. While they can absolutely serve that purpose, they’re capable of much more. I’ve seen planners use them for registration messaging, wayfinding, sponsor recognition, agenda displays, event branding, exhibitor promotions, presentation screens, and attendee communications—all within the same event.
One display can serve multiple purposes throughout the day, which is where the real value begins to emerge.
The way I see it, LED posters aren’t just signs. They’re flexible communication tools.
IS LED TECHNOLOGY TOO COMPLICATED FOR MOST EVENTS?
Not anymore.
For years, LED technology was associated with large productions, complicated setups, and significant budgets. That’s changed.
One of the reasons I’m such a fan of LED posters is that they’re approachable. They deliver the visual impact people expect from LED technology without requiring the complexity many planners fear.
Content can be updated from a phone, tablet, or computer. Displays can be deployed in minutes. Multiple units can be combined when a larger visual footprint is needed.
The barrier to entry is much lower than many event professionals realize.

WHY ARE MANY PLANNERS MOVING AWAY FROM PRINTED SIGNAGE?
Flexibility.
Events are living, breathing experiences. Schedules change. Rooms move. Sponsors request updates. Announcements happen.
Printed signage doesn’t adapt particularly well to those realities.
LED posters do.
This is one of the reasons I use the SMART framework when discussing LED posters. The “R” stands for Real-Time Flexibility. When information changes, your displays can change with it.
Instead of replacing signs, reprinting materials, or scrambling to communicate updates, planners can make changes instantly and keep attendees informed.
In today’s event environment, that’s incredibly valuable.
CAN LED POSTERS SUPPORT SUSTAINABILITY GOALS?
Absolutely.
Sustainability conversations are happening across every corner of the events industry, and for good reason.
Many events still rely heavily on printed signage that serves its purpose for a few days before ending up in storage—or worse, in the trash.
The “S” in SMART stands for Sustainable because LED posters help reduce dependence on single-use printed materials. The same display can be reused event after event while supporting entirely different messaging and branding.
It’s a simple change that can have a meaningful impact over time.
CAN SIGNAGE ACTUALLY GENERATE REVENUE?
In many cases, yes.
When planners consider signage, they often focus on costs. I encourage them to think about opportunities.
LED posters create premium sponsorship inventory. Sponsor messaging can rotate throughout the day, display motion graphics, promote activations, and adapt to different audiences and locations.
That creates a more dynamic experience for sponsors and opens the door for additional sponsorship packages.
I’ve seen planners use LED posters not only to enhance the attendee experience, but also to create new value for partners and stakeholders.
MY SMART APPROACH TO EVENT SIGNAGE
During my Eventastic presentation, I summarized the benefits of LED posters using the SMART framework:

Reduce reliance on disposable printed materials. - M – Maximum Reach
Capture attention from every corner of a venue with bright, dynamic content. - A – Always On-Brand
Maintain consistent branding throughout the attendee journey. - R – Real-Time Flexibility
Update messaging instantly as event needs evolve. - T – Total Cost Savings
Use one solution for multiple applications while reducing print-related expenses.
LOOKING AHEAD TOWARDS THE FUTURE OF LED AND EVENT TECHNOLOGY
One of the things I enjoy most about working in event technology is seeing simple ideas create meaningful improvements for planners.
LED posters aren’t necessarily the biggest technology in a venue. They’re not the flashiest. But they are practical and pack a powerful punch.
They help events look more modern. They simplify communication. They support sustainability initiatives. They create sponsorship opportunities. And they’re far easier to deploy than many people expect.
If there’s one takeaway I hope Eventastic attendees left with, it’s this: Sometimes the most impactful event technology isn’t about adding complexity—it’s about making the entire event experience work smarter.
