Universities need AV equipment for everything from classroom presentations to commencement ceremonies. But that doesn’t mean they need to own every microphone, display, or sound system they might use throughout the year.

For many campuses, a hybrid approach makes the most sense: purchase equipment that gets regular use, and rent what’s needed for special events, larger audiences, or busy periods. The right balance depends on the university’s event calendar, existing inventory, and available staff.

SmartSource’s article on equipment universities commonly rent highlights displays and presentation technology, audio equipment, and computers and devices. Deciding which of these to buy or rent starts with a straightforward question: How often will the university need them, and for what purpose?

WHEN BUYING MAKES SENSE

Buying equipment is worth considering when it serves a consistent purpose. A display used in a lecture hall every day has a different role than a large video wall needed for commencement.

The strongest case for ownership comes from frequent use and predictable requirements. If the same room hosts similar presentations throughout the academic year, purchasing a permanent system may be a practical choice.

For example, a university might purchase a standard presentation system for a frequently used seminar room while renting additional displays and microphones for its annual research conference.

Ownership also gives campus teams control over scheduling and configuration. That advantage depends on having equipment that’s maintained, easy to locate, and ready when faculty or event planners need it.

WHEN RENTING AV MAKES SENSE

Renting is worth considering when an event requires more equipment than the university owns, a different setup, or support beyond what campus staff can provide. SmartSource works with educational institutions on commencement ceremonies, meetings, conferences, and special events, offering supplemental equipment as well as full AV production.

Large and Special Events

Commencement ceremonies, alumni celebrations, and major conferences can have very different requirements from a classroom presentation. A larger audience or venue may call for additional sound coverage, bigger screens, or a more involved production setup.

Our rental inventory includes projectors, large-format displays, LED video walls, sound systems, wireless microphones, mixers, and lighting. Renting gives universities an opportunity to select equipment for the event rather than work around the limits of their existing inventory.

Staffing deserves just as much attention as equipment. A campus team that handles classroom technology may not have the availability or production experience to manage a large event. Refer to our university AV checklist, which identifies roles such as audio operators, a streaming operator, and a stage manager for larger productions.

When reviewing a rental proposal, confirm whether delivery, setup, on-site technical support, and teardown are included. Choose a vendor who offers delivery, setup, and on-site support, but the services needed should be defined for each event.

Overlapping Campus Demand

Even a well-equipped university can run short when several departments schedule programs at the same time. A research conference, admissions program, and faculty training session might each need displays, microphones, or laptops. Before purchasing more equipment, consider whether those conflicts happen regularly or only during a few busy weeks.

Supplemental rentals provide an option for filling temporary gaps while continuing to use campus-owned equipment. SmartSource offers supplemental technology and AV support for educational institutions.

FIND THE RIGHT BALANCE

The decision doesn’t have to be all rental or all ownership. Start by reviewing what the university already has, how often it gets used, and where event teams run into limitations.

For example, a university hosting a research conference could use installed displays and audio systems in its regular meeting rooms, then rent equipment for additional breakout spaces or a larger keynote session. That keeps existing resources in use without requiring the university to purchase everything needed for one conference.

Talk with departments before making purchasing decisions. Which items are requested most often? Where do scheduling conflicts occur? What can the internal AV team reasonably support?

Those answers can help separate a recurring need that justifies ownership from a temporary need better addressed through rental.

Buying can make sense for equipment that serves a reliable, ongoing purpose. Renting can be a better fit for special events, temporary shortages, and productions that require additional support
